Document Selection and Conversion

Users can select a variety of documents.  The program allows the direct import of Word, Excel, and text documents with the conversion to PDF for the final report.  Any PDF document can be used directly without converting.  Any document that can be converted to a PDF by a PDF printer or scanner can be used in the final document assembly.  The entire document can be incorporated in the final document assembly. Or you can select individual pages or a range of pages, or both.  For example, an Excel document that contains a balance sheet and income statement can be included and indexed as two separate documents.

Report Assembly
 

Once the documents for the report are imported and incorporated into the list of available documents, the user can select the order in which they will be displayed in the report.  First an index or table of contents is added to the report “set”.  You can add an agenda item. Then other documents are added which can be divided into sections, such as minutes, committee reports, loan reports, deposit reports, etc.  Agenda items can be added which may or may not include supporting documents, such as salary discussions, examination report reviews.

Final Report Production
 

Once the document selection process is complete, the program creates the index then merges it, along with the documents selected, into a single PDF.  Each page is numbered in chronological order with or without section header pages.  Each line item of the index is a link to the document it is referencing. Each page of each document has a link in the lower left corner, returning to the index.  An outline is also created for the final merged PDF document.  The final document can be encrypted, password protected and restricted as to how a recipient can use it, such as copying information, modifying content, extracting text and images, and print.  A watermark such as “Confidential” can be added to every page.

Once a report set is created, it can be used in the following months.  Employees update and save their documents monthly using the same name and the same folder. The program automatically includes them and warns if any are out of date.  Documents can be added or removed each month as necessary. Those which are used only quarterly or annually can remain in the set and will be included in the final report when specified.

Streamline and Simplify Report Distribution

The final Board Report PDF can be encrypted, and password protected if you choose to distribute it directly to your board members by email, from your network server, your bank website, or through the cloud.  The members can receive the Board Report before meeting day.  Some of our banks download the PDF to tablets and let the board members pick them up from the bank and leave them after the meeting.  Or they can download the report PDF to their personal computers or tablets and use a password you provide monthly by text messages.  The final PDF can be printed, distributed at the meeting, and used for overhead projection.

Building a Board Report Set

This is how easy and efficiently you can create and assemble your final Board Report Set for the Directors.  Open a report set you have created, build it, and see the final PDF, ready to distribute.

Effortlessly Add Documents to Your Board Report

First, you will add a new Microsoft Word deposit account proposal to the end of the report.  Next, you will insert a new Excel Spreadsheet in the first section of the report set.  The program will convert the new reports to PDF then give you the opportunity to select which pages to use from the PDF.  You simply drag and drop them where you want them.

Adding a new Agenda Item to the Board Report

This is the way you add a new Agenda Item to the Board Report.  You will be incorporating a new Committee Report presentation from the Investment Committee presented by Bill Airs.

Effortlessly Reviewing Your Board Report

The final Board Report can be reviewed by you and your staff and studied by your directors on a computer or tablet.  Each report line item in the Table of Contents contains a link to that page in the report.  In the bottom left corner of each report is a link back to its entry in the Table of Contents.  There is also an outline of the report for easy access to any page in the report.
